Tri-Cities Gaming is hosting Magic: The Gathering tournaments at Gamesfest.

MODERN TOURNAMENT: It starts at 2 p.m.

In addition, Tri-Cities Gaming is offering:

DRAFT ON DEMAND games with choices of:

  • Lost caverns of Ixalan
  • Lord of the Rings
  • Ravnica remastered

The Kennewick store is also offering SEALED deck tournaments with prerelease kits of:

  • Blumburrow
  • Outlaws of Thunder Junction

They will have lots of singles and sealed products of Magic: The Gathering and Pokemon.

  • Magic: The Gathering tournaments are being conducted by Tri-City Gaming after Adventures Underground declined. They prefer to be a vendor.
  • Wargamers – Bill said he hasn’t heard about any war gamers other than Chuck, Doug and Kim attending.

Food Vendor – The vendor was absent for much of TAGCON.  We don’t expect better service.  Doug will put together a sheet of nearby restaurants. 

Layout – The original was given to HAPO center.  Will check with them to see if they need anything else.

Vendors – $75 for 2 passes with 1 table.  $15 for each additional table.

            – Need to check with TC Gaming if AU won’t to run Magic

Discussed the HAPO center and asked Chuck Hamack to finalize the deal.

Never heard back from the food vendor.  Doug Nolan will re-contact.

A table layout has been made.  Will submit it to the HAPO center for approval.

An EIN has been secured and a HAPO business account should happen shortly.  Looking into Zeffy.

Articles of Incorporation are ready to be sent around for reading and approval for 501c3

More promotional material has been secured and social media presence is increasing.

Will work on GM recruitment at a later date

Identified the types of volunteers needed and will work on figuring out the number needed for all roles.

Talked about how much to charge vendors and the number of tables needed.  Chuck Hamack will coordinate with Doug Nolan

Tabled discussion on special badges for people to a later date.

Doug Nolan will create a Google Form to create a volunteer list

Talked about not having merchandising at the registration table at the con at this time…but possibly selling water bottles for people to use.  For future interest, 100 pins would be around $250.

REPORTS

Chuck Hamack:  Making progress on paperwork.  He’ll meet with Bill for further work. 

Bill Stevenson:  Discussed the benefits of each of the three locations.  We’re expecting up to 300 people so will need enough space for them.  10,000 square feet is sufficient room for it.  The only question is how many tables we’ll need.  This is important for the HAPO/TRAC location.  Bill also showed off the wristbands and talked about the stickers available.  No refunds are available. 

OLD BUSINESS

Discussed EIN paperwork and approved vote to move forward. 

Discussed Banking options, Bill will get more information for the next meeting.  Will have 2 people make drops during the event to keep cash on hand low. 

Discussed Event Positions for Gamesfest.  Will need people for Registration, Vendors, Gaming, and Silent Auction.  For registration will always need two people when registration is open.  Will offer free admission with 8 hours of service.  Will discuss more later. 


Discussed having Board Members buy special shirts to wear during Gamesfest.  Also buying vests for key members to wear while on duty at Gamesfest. 

Discussed Souvenir Badges and Pins for Gamesfest.  Bill will research badges and Chuck will research pins.

Discussed GM and volunteer shirts.  At this point will hold off till we know how many people are coming and the associated costs.  Maybe next year.

Discussed vendor tables and keeping them in the general game room.  We have currently have three vendors interested.  Will need to come of with how much to charge them for tables especially if extra tables cost $25 each. 

NEW BUSINESS

The approval of paperwork was tabled till a future meeting as we aren’t there yet.

Discussed the location for Gamesfest.  We voted to have HAPO/TRAC as our preferred choice.  Chuck and Doug will go meet with them on Tuesday with more questions with possible final approval on Friday.  Bill will send out an email with updates for an email vote.  We hope to have a location signed by this week. 

Discussed the food vendor for HAPO/TRAC.  Chuck will talk with the food vendor to see what we can do for them to make a good deal for both of us. 

Discussed having gaming-only panels during the event for education and outreach.  Will need to have a space set up for holding them.
